PRIVACY POLICY

Revision 21 09 2023

Your privacy is important.

Although most information on this site is available without asking you for personal data, here and there you will be asked to share it. We therefore believe that you have the right to know exactly what data we collect from you, why and how you can change it should you wish to do so.

Because by browsing our website you expressly consent to the processing of your personal data, we explain everything on this page as clearly as possible. It may happen that we change this Privacy Policy. We reserve the right to do so at our own discretion, but will communicate such changes again via the website.

Finally, in addition to the how and what about the processing of your data, you will find here the general terms and conditions associated with the use of our website and the content you will find on it.

Who processes your data?

This website is owned by EXTRAQT bv with company number BE 0770.846.528. You can find us at our office at Brusselsestraat 190/5, 3000 Leuven or contact us at info@extraqt.be. We therefore process the data you entrust to us on the website and you can contact us.

Your data will only be processed internally by our staff.

We will not send your personal data to third parties in an identifiable manner if this is not required to provide the services, without your explicit consent to do so.

What data do we collect from you? And why?

Most of the information on our website is freely available: you do not need to provide us with any personal data to do so.

In some places, however, we explicitly ask you for it. We always do this to provide you with a better service. Based on the place where we ask you for these data or the accompanying wording, it should always be clear what we will use your data for. For example, we ask for your contact details in order to send you more information. If you contact us with a question or suggestion, we ask for your data so that we can answer you.

Apart from data we specifically ask you for, we do not collect anonymous or aggregated data of a non-personal nature. By this we mean information such as browser type, IP address, the operating system you use or the name of the website through which you arrived at or left our website.

We only use your personal data for the purpose for which we obtain it from you and only keep it for the period necessary to provide certain services. If we nevertheless want to use your data for something else, we will first ask your permission.

You can withdraw your consent at any time. This applies to the use of all your personal data and is free of charge. To do so, please contact us at info@extraqt.be or at our address, Brusselsestraat 190/5, 3000 Leuven. Children and young people under the age of 13 need the permission of their legal representative to register. As we cannot verify this for every visitor, we cannot be responsible for this at EXTRAQT bv. We therefore assume that everyone who visits our website or provides us with personal data has the necessary consent.

To know what data we collect from you, the law of 30 July 2018 on the protection of natural persons with regard to the processing of personal data provides the free right to access and, if necessary, correct your personal data. Would you like to obtain the communication of the personal data we collected from you? Then send a dated and signed request to Brusselsestraat 190/5, 3000 Leuven or to info@extraqt.be. Please enclose proof of your identity in the form of a copy or scan of your identity card. If your inspection shows that it is necessary, you can ask to amend any incorrect, incomplete or irrelevant data.

We will take appropriate technical and organisational measures to keep your personal data safe from unauthorised access or theft and from accidental loss, manipulation or destruction. Access by our team is only possible on a need-to-know basis and is subject to strict confidentiality obligations. We do our utmost, but ensuring safety and security remains a best-efforts obligation to the best of our ability, and we can therefore never guarantee it.

Finally, this. In addition to the above purposes, as required by law, we may also process your personal data to transfer it to the police or judicial authorities as evidence of possible crimes or if there are justified suspicions of an unlawful act or crime committed by you through your registration to or use of the Website or the Services. Also if and when your registration to the Website or use of the Website or Services may be considered (a) a violation of the terms and conditions or intellectual property rights or any other right of a third party, (b) a threat to the security or integrity of the Services, (c) a threat to the Website or Services or systems of us or our subcontractors due to viruses, Trojans, spyware, malware, or any other form of malicious code, or (d) in any way illegal or unlawful, discriminatory or offensive, we may process your data in the interests of ourselves, our partners or third parties.

What about cookies?

Cookies? These are small text files that websites store on your computer or mobile device that contain certain information, sometimes including personal data. This website does not use any cookies.

Your rights

Want to know exactly what data we hold, change your data or ask us to remove your data from our systems? You can. All your rights can be found in detail on the website of the Belgian Data Protection Authority. Because it can be quite complex, we list a number of important rights here.

First, you have the right to know what data we collect from you. We already wrote above that the law of 30 July 2018 on the protection of natural persons with regard to the processing of personal data provides for the free right to access and possibly correct your personal data. You therefore have the right to request access to any personal data we process about you, but requests for access that are apparently made with a view to causing inconvenience or harm to us will not be processed, however.

In addition, you have the right to request that any personal data about you that is incorrect or inaccurate be corrected free of charge.

You also have the right to withdraw the consent you have given us to process data. This withdrawal does not affect the data we already collected via cookies or similar technologies on the basis of your previous consent thereto.

You also have the right to request that your personal data be deleted if it is no longer necessary in light of the purposes set out in this Privacy Policy or if you withdraw your consent to its processing. Please note, however, that a deletion request will be assessed by us in light of legal or regulatory obligations or administrative or court orders that may prevent us from deleting the personal data in question. In lieu of deletion, you may also request that we restrict the processing of your personal data if (a) you dispute the accuracy of such data, (b) the processing is unlawful or (c) the data are no longer necessary for the stated purposes, but you need them to defend yourself in legal proceedings.

If you wish to make a request to exercise one or more of the rights mentioned above, please send an e-mail to info@extraqt.be. This request must clearly state which right you wish to exercise and why. It should also be dated, signed and accompanied by a digitally scanned copy of your identity card. This way we can be sure that you are the person you say you are. We will immediately inform you of the receipt of your request. If the request turns out to be valid, we will comply with it as soon as reasonably possible and in principle no later than 30 days after receipt of the request.

If you have a complaint about our processing of your personal data, you can always contact us at the e-mail address info@extraqt.be. If you remain dissatisfied with our response, you are free to file a complaint with the Data Protection Authority (GBA) or theFlemish Supervisory Commission (VTC).
